Retention schedule
Menuo Inc. applies the following schedule to information collected through ACTPROVE. Retention refers to identifiable records, including copies under our control, rather than only the visible form entry.
| Record | Period or criterion |
|---|---|
| Unsuccessful or withdrawn applications | Up to 6 months after the last recruitment contact, or submission if there is no subsequent contact. This includes resumes, answers and associated notes. |
| Active recruitment | While the recruitment process remains active. Once it ends without a hire, the six-month rule above applies; administrative review alone does not restart the clock. |
| Successful applications | Only necessary information moves into employment or contractor records. Retention then follows the applicable employment notice and legal recordkeeping duties. |
| Business and general inquiries | For the time needed to resolve the inquiry and administer any resulting relationship, plus any applicable recordkeeping or specific legal-claim period. |
| Security and operational records | For the period needed to investigate incidents, prevent abuse and operate the service. Hosting-provider retention depends on the service and configuration; no single log lifetime is promised here. |
| Privacy requests | The minimum record needed to process the request, document the response and meet applicable accountability or legal obligations. |
| Restricted-console storage | Authentication sessions have a 30-minute renewable expiry with a 12-hour absolute limit. Local layout preferences remain until cleared; temporary tab data is removed when used or the session ends. |
Limited exceptions
A legal obligation, dispute or documented security investigation can require specific records to be kept longer. For example, U.S. employment recordkeeping rules can require at least one year where they apply. Retention for that reason is limited to the relevant records and purpose and is reviewed when the reason ends. It is not permission to keep all recruitment information indefinitely.
Deletion and copies
At the end of the applicable period, identifiable records must be deleted or irreversibly anonymized unless an exception applies. For career applications, the deletion process covers the database entry, uploaded resume and associated copies or notes under our control.
Deleting an application from active storage does not necessarily erase every provider backup immediately. Backup copies are subject to provider rotation and recovery controls. If a backup is restored, deletion decisions must be reapplied before the restored data returns to ordinary use.
Request earlier deletion
Email contact@actprove.com with the relevant application reference or context. We will verify the request proportionately, assess any legal retention requirement and explain the outcome within the deadline applicable to your request. Do not send identity documents unless we arrange a necessary verification step.
