Who is responsible
ACTPROVE is operated by Menuo Inc., a Delaware corporation in the United States. Menuo Inc. is responsible for the personal information described in this policy. References to ACTPROVE, we, us or our mean Menuo Inc.
This policy covers actprove.com, inquiries sent to us and recruitment through this website. It does not describe operational data handled under a separate customer agreement, employee records or the privacy practices of websites you visit through external links.
Information we collect
| Context | Information |
|---|---|
| Website visits | Technical request information such as IP address, browser and device information, requested URL, time, response status and security events may be processed by our hosting service. |
| Inquiries | Your email address, name, organization and the message or attachments you choose to send. Contact links open your email application. |
| Applications | Name, email, city/country, selected role, availability, resume or profile link, work samples, work-authorization and sponsorship answers, work preferences, motivation and professional experience. We also record application status, review notes and the notice acknowledgement. |
| Application security | An application reference and a keyed digest of the submitting IP address help prevent spam and duplicate submissions. The digest is pseudonymous, not anonymous. Hosting infrastructure may separately process the original IP address. |
| Restricted accounts | For authorized internal users: account and session information, authentication attempts and console preferences. Public visitors do not need an account. |
Where information comes from
Most information comes directly from you or from requests your browser sends to the website. For recruitment, we may review the professional profile or work samples you link to and record relevant interview communications. If someone refers you, we will identify the source when we contact you and provide this notice.
Please do not send identity documents, financial account details, medical information, classified material, controlled technical data or confidential information belonging to someone else through the public website. If a later process requires additional information, we will explain the purpose and collection method first.
Purposes and legal bases
Where applicable data-protection law requires a legal basis, we use the following bases for these specific purposes. An acknowledgement of this notice is not blanket consent to unrelated processing.
| Purpose | Basis, where applicable |
|---|---|
| Respond to your inquiry or take steps toward a business relationship you request | Steps at your request before a contract, or our legitimate interest in handling relevant business communications. |
| Assess your application and arrange interviews | Steps at your request before an employment or engagement contract; legitimate interests in reviewing qualifications and managing a fair recruitment process. |
| Operate and protect the website, prevent abuse and manage restricted access | Legitimate interests in reliable service and information security. |
| Meet an applicable legal requirement or handle a legal claim | The relevant legal obligation, or legitimate interests in establishing, exercising or defending legal claims. |
| An optional activity that requires consent | Your specific consent, requested separately before the activity. You can withdraw it without affecting earlier lawful processing. |
International processing
Menuo Inc. is a U.S. company and our application database is in the United States. Hosting, email delivery, support and authorized access may involve other countries. These countries may have different privacy laws from your country.
Where a restricted international transfer is subject to applicable data-protection law, an appropriate transfer mechanism is required, such as an adequacy decision or applicable contractual safeguards. Contact us for details of the destinations and safeguards relevant to your information. Submitting a form is not a request to waive these protections.
How long we keep information
Unsuccessful or withdrawn applications, resumes and associated recruitment notes are retained for up to 6 months after the last recruitment contact, unless a longer period is required by law or necessary for a specific legal claim. An ongoing recruitment process or a subsequent hire is handled as explained in the retention policy.
Other information is kept only as long as needed for its purpose, applicable recordkeeping duties and specific legal or security needs. We do not promise that all provider backups or infrastructure logs disappear immediately when an active record is deleted.
Your rights and requests
Depending on your location and the law that applies, you may have rights to access or obtain a copy of your information, correct it, request deletion, restrict processing, object to processing based on legitimate interests, or receive certain information in a portable format. Where consent is the basis, you can withdraw it. These rights can have exceptions.
Email contact@actprove.com with the request and enough context to locate the record. For an application, use the email address you applied with and include your application reference if available. Do not send a passport or other identity document in your initial request. We may ask for proportionate verification and will respond within the applicable legal deadline.
Where applicable, an authorized agent may make a request with evidence of authorization. We do not penalize you for exercising a privacy right. If a request is refused, you can ask us to reconsider and use any appeal right available under local law. You can also complain to the data-protection authority or regulator with jurisdiction over your situation.
Security and limitations
Application records are restricted at the database layer, and uploaded resumes are stored in a private bucket. Server credentials are not included in the visitor-facing application. These measures reduce risk; they do not make any online system completely secure.
Public product demonstrations use illustrative scenes and do not obtain live battlefield, device-location or camera data from visitors. A website demo is not a request for access to your camera or location.
Children
This website is directed to professional audiences and is not intended for children under 16. We do not knowingly request their personal information. Contact us if you believe a child has submitted information so we can assess and remove it where appropriate.
Updates and contact
We will update the date on this page when the policy changes. If a change materially affects how we use information already collected, we will provide any additional notice or obtain any consent required by law. Questions can be sent to contact@actprove.com.
